Setting Up Systeme.io

Don't worry if you're not very technical — this guide walks you through every single click, with pictures at each step so you always know exactly what you're looking at.

Section OneSetting Up Your Profile

This is where you tell Systeme your name and address. Your address will appear at the bottom of any emails you send — this is a legal requirement in the UK.
Step 1

Go to your Settings

Look at the top right corner of your screen. You'll see a small icon that looks like a person's head. Click on it.

A menu will appear. Click on the word Settings. Then on the left-hand side, click Profile.

Step 2

Change your display name

You'll see a field called Display name. It will probably show your email address right now — we need to change this to your business name.

Click on that field, delete what's in there, and type your business name instead.

Not sure what to type? Use the name your clients know you by — for example "The Business of Tutoring" or "Sarah's Tutoring Services."

Step 3

Upload a profile photo

You'll see a grey circle with a person icon — that's where your photo goes. Click on it and choose a photo from your computer. This could be your business logo or a professional headshot.

Step 4

Fill in your address

Scroll down and fill in your name and address. This is a legal requirement — UK law says every marketing email must include a real address.

Don't want to use your home address? That's completely fine. A PO box or your registered business address works just as well.

Step 5

Save your changes

Look for the blue Save button in the top right corner of the page. Click it.

Section TwoSetting Your Date & Time

This makes sure Systeme uses UK dates and times. It's quick — just three dropdown menus to change.
Step 1

Click on Account

You're still in Settings. Look at the menu on the left-hand side and click the word Account — it's just below Profile.

Change the three dropdown menus

You'll see three dropdown menus. Click each one and select the correct option:

Why does this matter? If you leave it on the wrong timezone, your scheduled emails could go out at the wrong time — like 3am instead of 9am!

Step 3

Save your changes

Section ThreeConnecting Your Website Address

A "domain" is just your website address — like businessoftutoring.com. This section connects it to Systeme so your pages look professional instead of showing a Systeme.io web address.
Step 1

Find Custom Domains

Look at the menu on the left-hand side and scroll down until you see Custom domains. Click on it.

Click Add domain

Look for a button in the top right corner that says Add domain. Click it.

Step 3

Type in your web address

A small box will appear asking you to type your domain. You have two options — don't worry, just pick whichever fits your situation:

Only if you have no website yet

Use your main domain

Type your full address like businessoftutoring.com — only do this if you don't already have a website at that address.

Not sure which to choose? Go with the subdomain option (the one on the left). It's safer and you can always change it later.

Step 4

Save and close

Click the Save button inside the box. Then close the box — if it doesn't close on its own, look for a small X in the corner.

Section FourThe DNS Part — Pointing Your Domain to Systeme

This sounds more complicated than it is! Think of DNS like a phone book — it tells the internet where to find your website. You're just adding two entries to tell it that your domain should point to Systeme. You have two ways to do this.

🔧 Do it yourself

Log into wherever your domain is registered and add two records yourself. The steps below walk you through it.

Option A — Easiest

Ask Systeme support to do it for you

First, log into wherever your domain is registered (your hosting provider) and add support@systeme.io as a domain manager. Then send Systeme this email:

That's it! Systeme's support team will reply and handle everything. You can skip ahead to Section 5.

Option B — Do it yourself — Step 1

Get the values you need from Systeme

Click on your domain name in the list. A box will pop up showing two rows of information. You'll need to copy these — don't close this box yet.

Option B — Step 2

Open a new tab and log into your hosting provider

Open a new browser tab and log into wherever your domain is registered (this might be Krystal, GoDaddy, 123-reg, or similar). Look for something called DNS settings or Manage DNS and click on it.

Can't find DNS settings? Try looking under: Domain Management, Advanced Settings, or Name Servers. If you're really stuck, search Google for "[your hosting provider] how to edit DNS records."

Option B — Step 3

Add the first CNAME record

Look for an option to add a new record. Select CNAME as the record type. Then:

Option B — Step 4

Add the second CNAME record and save

Go back to your Systeme tab and copy the values from the second row. Then go back to your hosting provider and add another CNAME record in exactly the same way.

Important: Always copy and paste these values — never try to type them manually. The second one especially is very long and easy to get wrong.

Section FiveAdding Your Logo & Email

Now you'll add your logo and a contact email to your domain. This makes your pages look professional and on-brand.
Step 1

Open your domain settings

Go back to the Custom Domains page. You'll see your domain listed there. Look for three dots next to it and click on them. Then click Settings.

Upload your logo and favicon

You'll see a panel with a few things to fill in:

What's a favicon? It's the tiny little image that appears in your browser tab next to the page title. You've probably noticed them on websites you visit regularly.

Section SixStopping Spam on Your Forms

This step adds Google reCAPTCHA to your forms. It's an invisible system that spots robots and stops them from filling in your contact forms with spam. It's free and only takes a few minutes.
Before you start

You'll need a Google account

reCAPTCHA is a Google product, so you need to be signed into a Google account. If you use Gmail, you already have one. If not, you'll need to create a free Google account first.

💡

You only need to do this setup once. After that, spam protection is automatic on all your Systeme forms.

Step 1

Open the reCAPTCHA link in Systeme

You're still in the Domain Settings panel from Section 5. Scroll down and you'll see a section called reCAPTCHA settings. Click the Google link shown there — it will open in a new tab.

Click Start Fraud Defence

You'll land on a Google page. Click the button that says Start Fraud Defence.

Step 3

Fill in three things

A form will appear. Fill it in like this:

For the domain field: type it exactly like this — businessoftutoring.com — no www, no https://, no forward slashes.

Click Submit

Step 5

Copy your Site Key back into Systeme

Google will show you a page with two long codes. First, click Copy Site Key. Then switch back to your Systeme tab and paste it into the Site key field.

Copy your Secret Key back into Systeme

Now go back to Google and click Copy Secret Key. Switch back to Systeme and paste it into the Secret key field.

Almost there!What Happens Now

Your domain needs a little time to connect

After adding those DNS records in Section 4, your domain will show as Pending validation in Systeme. This is completely normal — it just means the internet is updating its records.

It usually takes a few hours, but can occasionally take up to 24 hours.

What you'll seeYour domain will say "Pending validation" — don't panic! This is normal. Just check back in a few hours.

When it's done, the status will change to "Ready to use" with a green tick. Then you're all set!

Still showing as pending after 24 hours? Contact Systeme's support team — they're very helpful and will sort it out for free. Just explain that your custom domain isn't verifying.
